Archive or delete for good
Archive hides a contact, company or deal and can be undone. Deleting for good removes it with its timeline and is for Owners and Company admins.
Who can use this
OwnerCompany adminMemberRequirements
- CRM access (department, personal grant or channel)
Dromix has two ways to clean up the CRM. Archive hides a record and keeps everything. Delete permanently removes it for good.
| Archive | Delete permanently | |
|---|---|---|
| Who | Contacts and companies: everyone with CRM access. Deals: the deal owner, or anyone with CRM access when the deal has no owner | Owner Company admin only |
| What happens | Hidden from the list, pickers, the board and reports | The record and its timeline are removed |
| Undo | Restore any time | Not possible |
| Audit log | Deals: yes | Always |
Archive and restore
- Open the contact, company or deal and select Archive.
- To find it again, use the Archived filter in the list (deals: show archived deals in the pipeline).
- Open the record and select Restore.
An archived company keeps its people, deals and leads. An archived deal is left out of the board, the reports and the dashboard until you restore it.
Delete permanently
The Owner and Company admins see Delete (on contacts and companies) or Delete permanently (on deals, leads and in bulk actions). Dromix asks first, for example Delete contact permanently?
- Contact: the contact, its photo and timeline are removed. Linked leads, deals and chats stay but lose the link.
- Company: its people, deals and leads stay, without the company.
- Deal: the deal and its timeline are removed and drop out of reports. A deal with linked items is archived first; from the archive it can be deleted together with them; see Deals with linked items.
- Lead: the lead and its timeline are removed. To keep the history, use Not a lead instead; see Dismiss a lead.
Others who try get Only workspace owners and admins can do this. Archive the record instead.
Deals with linked items
A deal with customer uploads, proposals or contracts, invoices (draft or issued), payments or an upcoming meeting can't be deleted. Delete permanently then shows what blocks it, with counts, and offers Archive instead.
- Archive takes the linked items along: they stay with the deal in the archive, nothing is left behind, and the customer's upload link stops working.
- While a meeting is still to come, archiving is blocked too. The Archive deal? dialog lists each such meeting and customer booking (booking page) with its date and time and a Cancel / Cancel booking button: the host or an Owner / Company admin can cancel it right there. Before the start, the invited team members and the customer get a cancellation (by email, if outgoing email is set up); a meeting that is already running is just ended, without notice. Then Archive turns on. Archiving itself never cancels a meeting or notifies anyone.
- The deal's Meeting tab shows the same meetings, booking-page appointments included (marked Booking page, with Cancel booking). A meeting you removed or cancelled never blocks archiving.
- An archived deal can be deleted for good together with its linked items in one step: Delete permanently shows what goes with it (counts per kind) and one Delete deal and 5 items button. Type DELETE to confirm. Files and PDFs are removed from storage, everything happens at once (all or nothing), and one audit log entry lists what was removed.
- If a signed contract is among them, only the Owner can do this, with an authenticator app turned on and its code.
- You can still delete items one by one (Delete items one by one), each with its own Delete.
- Issued invoices, credit notes and recorded payments are legal records and are never deleted, not even from the archive or with the deal. The dialog lists them under Kept for good and the deal stays in the archive. Void the invoice instead.
- A signed contract can be deleted from the archive only by the Owner, with an authenticator app turned on: type the contract number and enter the code.
- Draft invoices, unsigned proposals and contracts, and uploaded files can be deleted from the archive by the Owner and Company admins.
Every archive and delete is recorded in the audit log.
Many at once
In the contacts, leads, deals or companies list, tick the records and open Actions ▾. Archive and Restore work for everyone who may change those records. Delete permanently asks you to type DELETE to confirm and is recorded in the audit log.
A permanent delete cannot be undone, not even by Dromix support. If you might need the history, archive instead. To erase a person's data for a GDPR request, use GDPR requests.
