Check the email log

See every email Dromix sent, from inboxes, stage automations and system emails, whether the mail server accepted it, and why a send failed or bounced.

Requirements

None beyond the role

The email log lists every email Dromix sends: messages written in team and personal inboxes, stage emails from your pipelines, invoices, proposals and system emails such as notifications. Use it to answer "did this email go out?" and "why did it fail?". Only Owner and Company admin can open it.

Open the email log

Open Company admin → Security & privacy → Email log. The newest emails are at the top, 50 per page. Above the table you see how many emails match your filters. Use Previous and Next to move between pages.

The log holds metadata only: who sent the email, from which address, to whom, the subject, the names and sizes of attachments, and the result. Message bodies and attachment contents are not stored.

What each row shows

ColumnWhat it shows
SentWhen the email went out, or when sending started if it did not go out

Types of email

The Type filter and the line under the sender name use these types:

Invoice, Invoice reminderInvoices sent to customers and payment reminders

Statuses

StatusMeaning
SendingDromix has started sending and has not recorded a result yet
AcceptedThe mail server (Gmail, Microsoft or your SMTP server) accepted the email. This does not prove it reached the inbox
FailedThe mail server refused the email or could not be reached. The error is shown under the status
BouncedThe email was accepted, but a delivery failure notice came back later. The time and reason are shown under the status

The Status filter also has Opened and Clicked. They find tracked emails that were opened or clicked at least once.

Filter, search and export

  1. Set any of From date, To date, Mailbox, Sender, Recipient, Status and Type. Dates cover whole days (in UTC). Under Sender, choose System for automatic emails only.
  2. In Search, type part of a subject, a sender address, a full recipient address or text from an error message.
  3. Select Apply. Clear filters shows everything again.

Export CSV downloads the emails that match your current filters, newest first, up to 20,000 rows. Each export is recorded in the audit log.

Read failures and bounces

  • Failed with a sign-in or connection error usually means the sending mailbox is disconnected or its password changed. Check the mailbox in Company admin → Sales & integrations → Integrations → Email. See Email does not sync and Set up email.
  • Failed for a Pipeline automation email: check the pipeline's sending inbox, that is its own inbox, its brand's inbox or the company main inbox. Stage emails that were skipped or held, for example because the pipeline has no sending inbox, is still in Test mode or email is off, are not sent and do not appear in the log. The deal or lead shows why the email was not sent.
  • Bounced usually means the address is wrong or the recipient's mailbox refused the email. The reason often contains a code such as 550 5.1.1. Correct the address and send again.

Dromix can only mark an email as Bounced when the delivery failure notice arrives in a mailbox connected to Dromix. Some notices cannot be matched, so an email can stay Accepted although it bounced.

Writing the log never stops an email. If an entry cannot be saved, the email still goes out, so in rare cases an email is missing from the log.

Opens and clicks

Opens and clicks only appear for emails written in Inbox when open and click tracking is turned on for that inbox in Company admin → Sales & integrations → Integrations → Email and every recipient has given tracking consent. All other emails show Not tracked. System emails are never tracked. Opens are unreliable: some email apps load images automatically and others block them.

How long entries are kept

Next to the email count, choose Keep the log for 90, 180, 365 or 730 days. The default is 365 days. Older entries are deleted automatically a few times a day. Changing the period is recorded in the audit log.

When a customer's data is erased under a GDPR request, their entries stay in the log, but their address and the subject are replaced with [erased] and tracking data is removed.
