Set up your company with the setup wizard
Seven short steps, one after the other: company info, modules, brands, pipelines, team, inboxes and channels, and going live.

None beyond the role
The setup wizard walks Owner and Company admin through everything a new Dromix needs, one step at a time. Nobody else sees it.
Open the wizard
- On a new installation the wizard opens by itself the first time the Owner signs in.
- Afterwards, the card Setup: X / 7 steps on your dashboard shows the next step. Select Continue setup.
- You can always open it from Company admin → Company → Settings with Open the setup wizard.
The wizard opens right inside Company admin → Settings: the app menu on the left and the admin menu stay visible. The address shows the current step, so a bookmark or a shared link opens that step again. Old links to /company-setup still work and open the same place.
Dromix stays fully usable while you set up. Select Back to Settings at any time to return to the General tab of the settings: every step is saved on the server, including what you typed but did not finish, so you continue where you stopped, on any device.
Installations that were already in use before the wizard existed are not interrupted. Dromix marks the steps that are already done from your real settings, and the card only appears once you open the wizard yourself.
How progress works
- The steps open one after the other. Continue moves on only when the step is complete; until then it is disabled and the reason is shown next to it.
- Steps after the first unfinished one are locked (lock icon). Finished steps stay open: select them in the list to change something.
- A link to a locked step opens the first unfinished step instead.
- Steps cannot be skipped; what each step needs is described below. Steps for modules you do not use are hidden.
- The card on your dashboard shows the next step and disappears when every step is done.
There is no email step: the system email that sends invites and notifications is set on your server when Dromix is installed. Company admin → Settings shows it. See System email.
1. Company info
Enter the company name, upload the logo and pick the brand colour, the company language, the time zone and the currency. These are the same settings as in Company → Settings. The website is optional; it appears in the email signature. Name, logo, colour and website also make up your company's main brand (step 3). A custom colour needs the Business or Enterprise plan. The step is complete once the company name is saved.
2. Modules
Tick what your company uses: Sales CRM, Email, Calendar, WhatsApp, Instagram, Facebook Messenger, and Time clock and location. Email, Calendar and Time clock switch on right away. WhatsApp, Instagram and Facebook are connected in the Inboxes & channels step. If you untick Sales CRM, the Brands and Pipelines steps are hidden, and Inboxes & channels only needs your main brand's inbox. If you untick Email, Inboxes & channels is hidden unless you chose a channel or calendar. The step is complete once you save your choices.
3. Brands
Your company is your Main brand: the first card is built from Company info (name, logo, colour, website). It is not a separate brand and can never be deleted. Its name, logo, colour and website are set in step 1, Company info; this card only shows them. Below it, every brand you sell under has a card of its own. Selling under one name only? Then the main brand card is all you need.
To add a brand, select New brand and enter its name, logo, colour and website domain. Select Edit on a card to change the brand in place (one card at a time) or to remove it. Each card shows the brand's pipelines; you add them in the next step, where one brand can have as many pipelines as you need.
How many brands you can add depends on your plan: Starter 1, Business 3, Enterprise 10. The line above the cards shows how many you use. The company itself never counts, and pipelines are unlimited. A brand can be deleted (Edit → Delete brand) only while it has no data: no deals (archived, won and lost too), leads, proposals, contracts, invoices, meetings, booking links or automation runs in any of its pipelines. Then the brand and its pipelines are deleted together, with their stages, rules, messages and lost reasons; the confirmation names those pipelines. Its team inbox is unlinked but stays connected, and lead forms that opened deals in those pipelines send new leads to the Leads list. Once a brand has data, Delete brand is unavailable and says what it has (for example "12 deals, 3 proposals"); remove that data first. Nothing moves to the company any more.
Brands need no inbox yet. Team inboxes are linked in step 6, Inboxes & channels: a connected inbox starts bringing in mail right away, so the pipelines are prepared first.
The step is complete when you select Continue; selling under your company name only is fine. Without the Sales CRM module the step is hidden.
4. Pipelines
A pipeline is the path a deal takes from first contact to won or lost. The step shows your pipelines as cards, grouped by owner: Company (main brand) first, then one group per brand. Each card shows the stages, stage emails, automations and deals, and whether the pipeline is in Test mode or Live.
Select New pipeline (or Add pipeline to … under a group) and answer three questions:
- Who is it for? The company or one of your brands. This question only appears when you have brands.
- How do you want to start? A Dromix template (Education, Real estate, Agency or Generic), Blank (just New, Won and Lost), or Copy a pipeline. A template brings stage names, ready messages in the company language and the sales rules; the window shows its stages before you create it. Invoices are never sent automatically.
- Name: for example Course sales.
Select Create pipeline. Every pipeline gets its own copy of its stages, rules, messages and lost reasons, so changing one pipeline never changes another.
Select a card to open the pipeline. Its tabs are the same editors as in Company admin:
- Stages: rename, add, remove and reorder stages; select Edit on a row to change its label, key and Won or Lost.
- Automations: the pipeline's rules, for example the booking link email or a proposal draft when a deal reaches a stage.
- Messages: who sends this pipeline's emails (the brand or company inbox, or a sending inbox of its own) and the emails and chat messages its rules send.
- Lost reasons: the reasons people pick when a deal in this pipeline is lost. Each pipeline has its own list.
- Lead sources & assignment: which web forms create deals in this pipeline, the booking page and the lead assignment rules.
No inbox is needed in this step. Each brand's team inbox is linked in step 6, Inboxes & channels, and its pipelines then use it automatically; until then the cards say where the inbox comes from instead of warning.
Until your team is set up, new leads go to you, the account owner: when you complete this step, every lead source that has no assignment rule yet gets one that assigns new leads to the Owner. After the Team step you can hand them to real people.
Every new pipeline starts in Test mode, including the first Sales pipeline of a new installation. Rules run, but their emails and chat messages to customers are held, so you can try everything without writing to real customers. Leads from email start only when the pipeline goes live: mail that arrives at its inbox before that is imported into the Inbox and filed on deals and leads that already exist, but it opens no new lead or contact. The pipeline page shows this as a note. You go live in the last step, Ready, with Go live. Back to Test mode is only available while the pipeline has no deals.
The step is complete when at least one pipeline exists and you select Continue; the pipelines stay in Test mode until you go live in Ready. If the company and every brand already have a live pipeline, it is done already.
Your company and each brand have their own default pipeline. The first pipeline of a brand becomes its default; change it in Admin → Pipelines.
5. Team
Invite people with their role, department and title, as in Invite someone. Under Access from day one you can also choose:
- CRM access (all pipelines): the line under it lists the pipelines this covers,
- Brands: gives CRM access and membership of each brand's team inbox,
- Team inboxes they can read and answer,
- the channels whose chats they answer.
This access is applied when the person accepts the invite. When the system email is set up, tick Send the invite by email; otherwise copy the link and send it yourself. Pending invites have Send reminder, which also renews the link. The same options are in Company admin → People → Invites.
Who gets new leads: since the Pipelines step, new leads are assigned to you, the account owner. Once people have joined, select Change lead assignment to choose who gets the leads of each source (Company admin → Company → Settings → Leads; each pipeline's Lead sources & assignment tab works too).
The step is complete when you select Continue; inviting nobody yet is fine. If you already sent invites or other people already use Dromix, it is done already.
6. Inboxes & channels
Brand and team inboxes. There is one card for your main brand and one for each brand. Every card shows its team inbox with its status (Connected, Connection problem) or No inbox yet. Every brand, including your main brand, gets its own team inbox; one inbox is never shared between brands. Select Link inbox on a card, or Change when it already has one. The window opens for that card only: pick a connected team inbox or Connect a new team inbox (Gmail, Outlook or another mail server). Only team inboxes are offered, never personal mailboxes, and an inbox that another card uses cannot be picked. Unlink in the same window removes the link after asking. After Microsoft sign-in you come back to this step and the window opens again for the same card. If the address you connect is already a team inbox used by another card, Dromix says which one and changes nothing; an unused one is selected as it is, with its saved sign-in unchanged.
When you connect a new team inbox here, choose under Import past email how much history to import: none, the last 7, 30 (the default), 90, 180 or 365 days, or a custom number of days. See Choose how much past email to import.
Under each card, Pipelines using this inbox lists its pipelines. A pipeline without a sending inbox of its own uses its brand's inbox automatically (company pipelines use the main brand's), so nothing has to be mapped by hand: when you link a brand's inbox, the step confirms which pipelines now use it, and pipelines you add later use it too. A pipeline that sends from its own inbox (chosen on the pipeline under Messages) keeps it.
Mail that arrives at these inboxes is imported into the Inbox right away. Leads from email start only when the pipeline goes live, in step 7.
From then on, stage emails, proposals, contracts, signed copies, reminders, meeting invites and invoices of a brand's deals come from the brand's inbox with the brand's name and logo. Deals of company pipelines use the main brand's inbox with the company name. Internal notifications always come from the system email.
A brand without an inbox does not fall back to the system email. Its customer emails are not sent until you link an inbox, and the deal shows why. Company pipelines without a main inbox send proposals, contracts and meeting invites from the system email, but their automatic stage emails wait.
Channels. Connect WhatsApp, Instagram, Facebook Messenger and calendars, and choose each channel's agents, the people who answer its chats. These are the same screens as Integrations. Channels are company-wide: one WhatsApp number and one Facebook or Instagram page serve all brands.
The step is complete when the main brand and every brand that has a pipeline have a team inbox and every channel you chose in Modules is connected. A brand without pipelines does not hold up setup: its card says the inbox is optional for now, and you can link it any time later. While an inbox is missing, Continue stays disabled and says how many are missing. To connect some channels later, tick I'll connect the channels later and select Continue. Without the Sales CRM module only the main brand's inbox is needed; with Email switched off in Modules, no inbox is needed.
7. Ready
The checklist shows every step and opens the ones that are not done. Under Pipelines you see every pipeline with its status (Test mode or Live), the inbox it uses and whether leads from email are on. Select Go live on a pipeline when its stages and messages look right; from then on its emails and chat messages go to customers.
Leads from email start when a pipeline goes live. Until then, mail at its inbox is only imported. The same applies to mail that no pipeline's inbox picks up: it goes to the default pipeline and, while that pipeline is in Test mode, creates nothing. Mail that arrived during Test mode does not open leads later. You also see the people who have not accepted their invite yet, each with Send reminder. Select Finish setup when you are done; a pipeline still in Test mode can go live later in Company admin → Sales & integrations → Pipelines.
